GENERAL TERMS AND CONDITIONS

• Advance invoice:
  • Upon confirmation of the event, we require a 75% deposit of the quoted price, within 30 days after invoice date, to secure the reservation
  • If the event takes place before the payment term, please make sure to pay the invoice within 7 days prior to the event date
• Balance invoice:
  • After the event, you will receive the balance invoice, which is due within 30 days after invoice date
• In case of overdue payment, 0,25% of the invoice amount will additionally be charged for each week of late payment

CANCELLATION POLICY

• For cancellations up to 8 weeks prior to the event, the already incurred costs will be charged;
• For cancellations up to 8 weeks or less prior to the event, 25% of the total amount will be charged; in case the already incurred costs exceed this percentage, they will also be charged;
• For cancellations less than 6 weeks prior to the event, 50% of the total amount will be charged; in case the already incurred costs exceed this percentage, they will also be charged;
• For cancellations less than 4 weeks prior to the event, 75% of the total amount will be charged; in case the already incurred costs exceed this percentage, they will also be charged;
• For cancellations less than 2 weeks prior to the event, 100% of the total amount will be charged
• In case of announced very bad weather, a plan B can be elaborated, in function of the still available activities on the event date, customer preference and (extra) available budget.
• For cancellations and postponements of the event, other arrangements can be made depending on the costs already incurred by Ecco La Luna Ltd.

VALIDITY OF QUOTATIONS AND NUMBER OF PARTICIPANTS

• The quotations made by Ecco La Luna are only indicative, entirely without obligation and always revocable. Their duration and validity shall not exceed 30 days (for 2cv rally 7 days), unless expressly provided otherwise by Ecco La Luna. The quotations are drawn up on the basis of the instructions given by the Client. Any change to these may entail a price revision.
• The prices mentioned in our offers are VAT excluded, unless specifically stated otherwise.
• The prices mentioned in our offers don't include the transportation cost, unless specifically stated otherwise.
• The prices mentioned in our offers don't include the renting of rooms, unless specifically stated otherwise.
• The final number of participants must be communicated to Ecco La Luna at least 14 calendar days before the event.
• The final catering choice per person must be communicated to Ecco La Luna at least 14 calendar days before the event.
• When renting a vehicle (2CV, Vespa, tandem bike, MTB ...) the final number of vehicles must be communicated to Ecco La Luna at least 30 calendar days before the event (unless specifically stated otherwise).
• Up to 14 calendar days (for transport means up to 30 calendar days) before the execution of the event, the number of participants can be changed by 10% compared to the originally communicated number, without additional costs. Any change larger than this 10% implies a full invoicing of these numbers above the 10% change i.e. 90% of the original numbers will be invoiced. If effectively more participants participate than mentioned in the contract, an additional price per additional participant will be charged, equal to the agreed price per participant in the contract.

PRACTICAL MATTERS

• Crew catering: our offers exclude catering, unless specifically stated otherwise. In case Ecco La Luna collaborators are present at an event for 2 of more parts of the day, we expect the customer to take care of their catering (breakfast and/or lunch and/or diner). Part of day= 4 consecutive hours, including build-up and break-down.
• Normal sportswear should be sufficient (unless specifically stated otherwise).
• Rain resistant clothing is recommended, depending on the weather conditions.
• Good hiking shoes or sports shoes are recommended (unless specifically stated otherwise)
• During the bike tours the use of a helmet is mandatory. Not wearing a helmet is at one's own risk. If needed you can rent a bike helmet at Ecco La Luna.

RENTAL RULES FOR ROLLING STOCK

• The vehicles that are used during the 2CV rally have a standard BA insurance + basic omnium.
• All hirers of bicycles, tandems, e-bikes, vespa's, 2PKs ... declare that they agree with these regulations and associated rules.
• The renter can never be held responsible for accidents with physical or material damage caused by the hirer to himself or third parties.
• The hirer remains responsible for the rented equipment, whether in case of theft, accident, damage or violation (fine) and shall reimburse the renter for any damage or loss caused.

OPTIONALLY: VIDEO RECORDING

• If required, we can provide a photo/video shooting - ask for a free price estimate

ACCIDENT INSURANCE

• This is normally not included in our prices, because covered by the occupational accident insurance of your company (check!)
• If needed, Ecco La Luna can arrange the accident insurance. The price for one group with a maximum of 10 people amounts to 100 euro per day (VAT excluded). For each extra participant an amount of 10 euro (VAT excluded) per person per day will be charged. Such requests should be sent to us 7 working days before the event. A list of participants (first name + last name) should be send to us in advance + the final number of participants.
• Ecco La Luna guarantees that her civil liability and that of her collaborators -- excluding third parties, that is other than her employees -- cover to a maximum extend any accident occurring during the event or because of its materials.

Driving a 2CV: STANDARD Civil Liability Insurance

• Standard civil liability insurance + omnium basic are included
• All our 2CVs are insured with the Standard civil liability insurance through Allianz-insurances
• For each 2CV a lease contract should be signed on the day of the event in which the renter takes full responsibility
• The possible damage of an accident at fault is covered by the insurance with an excess of 1500 euro (VAT excluded) per damage claim

Driving a 2CV - OPTIONALLY - omnium plus (= 50,00 euro VAT excL. per 2CV)

• The Standard civil liability insurance can be extended to an omnium plus insurance
• A lease contract must be signed on the day of the event for each 2CV event, in which the renter takes full responsibility
• The possible damage of an accident at fault is covered by the insurance with an excess of 500 euro (VAT excluded) per damage claim

Photo and video material during an event

Ecco reserves the right to take photos and videos during the event if the course of the event allows it. We also share this material with the customer after the event and we also use it for marketing purposes such as social media, website, catalogue. Unless the customer objects to this. The customer reserves the right at all times to ask for photos or videos to be removed.
